The Secret to Effective Email Time Management

Take a look in your email inbox- how many messages do you have in there? A few hundred? A few thousand? Believe it or not, there are actually people who have accumulated thousands of emails in their inbox. If this is you, it's probably a good time to take a look at how you are processing the incoming emails, and see if you can improve the time spent on reading and responding to email actions.

Here are four steps you can start taking TODAY, that will make a huge difference in the amount of time you spend on email related tasks. Effective email time management starts right now!

Schedule Email Time

How many times a day are you interrupted by the "ding" that notifies you when an email has arrived in your inbox? Also think about the number of total interruptions you get each day- from the telephone, people stopping at your desk or office, instant messaging, etc. Scheduling an hour per day to work through the information received in your inbox (moving files to your reference folders, or carrying out the actions required of action emails) can make a huge difference in the amount you accomplish. Depending on the nature of your work, you may need to check your email more frequently for more pressing emails requiring actions right away, but having at least one hour per day, specifically scheduled to deal with what's in the email inbox and to not allow phone calls or other interruptions, will make a huge difference.

If possible, don't leave your email program running throughout the day while you're working on something else. Every time you check to see what email is coming in, you lose focus on what you're working on and it takes time to get it back. If you must check it frequently for urgent messages, just open it when you are in between projects, or waiting for something to boot up, etc.

Classification

All email can be classified as either "reference" or "action" email. Statistics show us that learning how to do this can save you up to 50 minutes per day on filing and finding information. That's almost 7 hours a week, and well worth the time it will take you to learn this technique!

Reference Email: This is material that you receive in your email that you do not have to do a specific task with; but you want to keep it so you can refer to it at a later date. You need to store these in email folders, in the My Documents area of your computer, or in paper form within file cabinets.

Action Email: This is data that you use to actually complete an action. You need what is in the email to carry out the action. This information is typically saved on a to-do list, a calendar, or in a project management system.

One at a Time

It can be extremely difficult to resist the temptation to open emails in a random order- based on what looks most interesting to you as you open your inbox up! Systematically working through the emails one at a time, starting from the top, is a much better approach and will increase productivity and decrease time spent on email related tasks. Use your email program to arrange emails by date, so that the oldest or most recent emails are at the top of the list.

If you've got a backlog of emails in your inbox to work through, you will want to schedule blocks of time to get through them- organizing reference information and responding to actions. Eventually, you will be able to clear out your inbox of the older information and simply work on a daily list of emails, one at a time.

The "4 D's of Decision Making"

Are you constantly opening and reading the same email messages over and over- and marking them "as new" again to refer back to later because you just aren't sure what to do with it at this time? The reference/action classification will help you with that; as will the 4 D's of Decision Making model.

Handling email once is more efficient, and will increase your productivity. Making a decision the first time you open your email is paramount to effective time management. You have four choices to select from using this model of decision making, including:

1. Deleting
2. Doing
3. Delegating
4. Deferring

Delete: Probably half of the email you get, if not more, can just be deleted immediately. Do that instead of saving it "for later" or "for when I have time" and you'll eliminate a ton of unnecessary work later on.

Doing: If the action required in an email will take you two minutes or less, don't even think about filing it or saving it to do for later. That's what your one hour time block is for- just get it done and feel good about the accomplishment. For reference emails, get it filed where it belongs and then you can delete the email from the inbox. Probably about a third of your email can actually be "done" in less than 2 minutes.

Delegating: For emails that can't be deleted, and you can't get it done in about two minutes, what about delegating it to someone else to do? If you can delegate it, compose a quick email in under two minutes to send it to someone else to do!

Deferring: For a select few emails that just can't be deleted, and can only be done BY YOU, and it will take you longer than two minutes to get it done, you will defer them until sometime after your dedicated hour of email processing time. This is important- if you launch into doing tasks that take longer than two minutes or so during your email time, you've neglected all of the other emails in your inbox. So you defer the longer action emails for a scheduled work time by scheduling it on your to do list or calendar, or scheduling a meeting, etc.

If you do the above on a daily basis, you can really improve your time management efficiency for dealing with your emails. On average, it's been found that people can typically process about 100 emails in an hour using the 4 D's decision making model and the above tips for handling emails. Statistically, 50% of your email can be deleted immediately, 30% of email can be delegated or completed by yourself in about two minutes, and 20% of email can be deferred until a later, scheduled work time.

If you currently have a backlog of emails, just set aside larger chunks of time to start getting through the old messages. Start each day with an hour of email time, working through your newest received emails, and then schedule additional time to go through the old emails. Before you know it, you will be working with daily messages only- and enjoying your newfound email productivity!

Don't Let The Internet Throw You Off Your Time Management Plan!

The Internet is taking over everyone's normal way of living. When we consider time management, we must also consider the World Wide Web.

In times passed when we thought of managing time we considered family, friends, work and ourselves. We now have to add to our list, emails, websites, advertising, search engine marketing, article marketing and other key factors that are included in businesses today especially if we have an internet business.

At one time we went to work for eight hours and returned home. Now, more often than not, our office is a part of our homes and we might not know from day to day exactly what our workload will include.

Technology and the internet are supposed to make our lives easier. I sometimes wonder about that. It has actually made my life busier and sometimes even more difficult. When the computer freezes and decides not to operate a person can spend hours just fixing whatever occurred. When all things were on paper, the paper was always available, unless of course, I misfiled it! Computer breakdowns and stalls can take a real chunk out of the time I had planned to spend another way that workday.

Time management is critical for us all. Without a time management plan we can develop headaches, high blood pressure and other illnesses from the stress of never having enough time to do what needs to be done. When we manage our time effectively we seem to function well in society and at home.

The massive amount of data that passes us each day via the Internet has changed the entire outlook of time management in the last few decades. We often spend a lot of time just sorting through the pile of emails to find out which ones matter the most. This is not good!

Time management means to spend your time wisely. Most email advertisements are slicks that draw us into a world of fantasy and provide us with links to never, never lands that seem to never end. One can get carried away needlessly on "nonsense." It is wise to try and discipline ourselves to stay on track with a positive time management plan for each day. I suppose we just have to keep our fingers crossed that the computer does not crash at any given point in our day.

Surfing the web is another source that can take our time and allow us to misuse it. With so many colorful and interesting headlines to confront us or a sudden pop-up that distracts us from our original goal a person can waste several hours that could have been spent in a much wiser manner. Self discipline today with a time management plan is much more important than ever before. Staying on the track we originally planned to stay on is often very difficult to do because of the internet's enticing ways of guiding us elsewhere.

To obtain an efficient time management plan today you need to avoid the areas on the internet that consumes your time such as the "chat rooms." I suppose these can be compared to the "coffee break rooms." They should be avoided while you are trying to accomplish the work goals you set for yourself in any given day.

So that in conclusion, it is a little more difficult to stay focused and mange our time wisely when most of our work involves sitting at the keyboard in front of the computer that is hooked up to the internet as well. Be careful, and don't let the internet sway you into 100 other plus more topics. Stick to your time management plan if you are ever going to accomplish your work goals in life, you will need a solid time management plan that you stick to. I am trying very hard to put one in place for myself.

For instance you may have a desire to be wealthy and thus set a personal development goal to become financially free. There are thousands of different ways to achieve this goal. There are thousands of methods you could follow and plans you could set in motion that would bring you closer to this goal. Millions of people have gone from rags to riches. So, why does following a plan work for one person and the same plan will not work for another?

It is due entirely to the difference in attitude and mental conditioning!

There are at your disposal numerous personal development and self improvement methods that are designed to help you achieve this goal. Now these tools and methods are not designed to show you the way to become financially free but instead are designed to free you from your own inner resistance to being financially free. Many people think this is a waste of time and would prefer to be given step by step instructions to build financial wealth and I was once one of them. Yet however hard I tried and no matter how many plans and formulas I followed my financial situation actually grow worse.

Why was this? Were the plans I was following just not good enough to create wealth? Were the people peddling these rags to riches methods merely conning me out of my money? Was gaining wealth just pure luck like winning the lottery?

The answer to all of the above questions is no!

The plans I followed had worked for thousands and made them rich! The people selling me the products and methods had all made their fortunes using the very same techniques they were trying to teach me! I later found out that gaining wealth had nothing to do with luck!

It wasn't that these things were not good enough to produce the wealth I craved it was that I THOUGHT I wasn't good enough. When you hold a negative self image and have a negative view of yourself and your abilities it is very difficulty to achieve success no matter how much effort you put into it! This is why it is of paramount importance to first remove the negative conditioning that is holding you back in life.

Your attitude, which is only composed of thoughts and feelings, is responsible for your actions. Thought is the creator of action! Every action you perform, no matter how small or big, first begins in your mind as a thought. Each thought begins as a feeling. Think of when you met your last partner. You first felt the attraction. Then you had the thought that you would like to meet them. Then you performed some action to make that happen. Think of the last time you went out socializing. You had the feeling that you would like to have some fun, or be with your friends, were feeling lonely etc. Then you had the thought. Then you performed the action.

If your actions are motivated by your thoughts and feelings and your attitude is composed of thoughts and feelings do you think you could succeed at a given task if you hold a negative mental attitude about it or your ability to succeed at it?

Once you embrace personal development and begin to use any of the myriad of self improvement tools to remove your negative mental attitudes you will naturally find yourself becoming more successful in life. You actions will be more positive and you will unconsciously perform the correct actions that will lead you to success. I am sure you can know see how important it is to set some personal development goals. Not only will you see improvement in your self, you will also see many symptoms of success added unto you!
